Leave Options for IYR Employees

If the cause of your absence from work is any of the following:

  1. You have been advised by a health care provider to self-quarantine due to concerns related to COVID-19 (for timekeeping use Novatime Pay Code 14PAN and Reason Code 4); or
  2. You are experiencing symptoms of COVID-19 and are seeking a medical diagnosis (for timekeeping use Novatime Pay Code 14PAN and Reason Code 5); or
  3. You are caring for an individual who has been advised as described in 1, above, or is experiencing symptoms and is seeking a medical diagnosis as described in 2, above (for timekeeping use Novatime Pay Code 14PAN and Reason Code 6).

Then you should do the following: 

  • First use your Emergency Pandemic Sick Leave (EPSL).
  • If you are out of work for more than 5 days, HR will contact you about your rights under the Family Medical Leave Act (FMLA). FMLA provides you with 12 weeks unpaid leave during which time IYR will continue to pay the employer share of your benefits, but you are responsible for paying your share.
  • Once you have used all your EPSL, you can choose to use any remaining paid time off (PTO), sick leave, or vacation, or you may choose to be placed on unpaid leave.
  • Once you have used all your paid leave options (or if you chose not to use those options) you will be placed on unpaid leave.

If the cause of your absence from work is that you are ill with symptoms related to COVID-19 but are not choosing to seek a medical diagnosis:

  • For timekeeping use Novatime Pay Code 14PAN and enter Reason Code 10.
  • If you are out of work for more than 5 days, HR will contact you regarding your rights under the FMLA. At this point you must seek a medical diagnosis, or FMLA will not apply.
  • First use your Emergency Pandemic Sick Leave (EPSL).
  • Once you use all your EPSL, you can choose to use any remaining PTO, sick leave, or vacation.
  • Once you have used all your paid leave options (or if you chose not to use those benefits) you will be placed on unpaid leave. If you are in an unpaid leave status, it may affect your benefits eligibility.

If the cause of your absence from work is that you are choosing to self-quarantine (without advice from a health care provider):

  • For timekeeping use Novatime Pay Code 14PAN and enter Reason Code 9.
  • First use your Emergency Pandemic Sick Leave (EPSL).
  • Once you have used all your EPSL, you can choose to use any remaining PTO or vacation (but not sick leave).
  • Once you have used all your paid leave options (or if you chose not to use those benefits) you will be placed on unpaid leave. If you are in an unpaid leave status, it may affect your benefits eligibility.

If the cause of your absence from work is that you are caring for your son or daughter because their school or place of care has been closed, or the child care provider of your son or daughter is unavailable due to COVID-19 precautions:

  • For timekeeping use Novatime Code 14PAN and enter Reason Code 7.
  • First use your Emergency Pandemic Sick Leave (EPSL).
  • If you are out of work for more than 5 days, HR will contact you regarding your rights under the Family Medical Leave Act.
    • After 10 days you may choose to use any remaining PTO or vacation, or you will be paid 2/3 of your regular pay up to a limit of $200/day for up to 10 weeks until the school or place of care reopens or your child care provider is again available, with a total limit of $10,000.
    • You are only eligible for this paid FMLA leave if you have worked for IYR for at least 30 days.

If the cause of your absence from work is either that you are subject to a Federal, State, or local quarantine or isolation order related to COVID-19, or you are experiencing any other substantially similar condition as specified by the Secretary of Health & Human Services in consultation with the Secretary of the Treasury and the Secretary of Labor:

  • Neither of these conditions is currently in effect with respect to IYR employees. If either condition goes into effect, we will issue further instructions.
